Terms and Cancellation Policy

All journeys are operated and contracted by Black Sea Inc. A reservation request submitted through this website is an application only and does not create a binding booking. A booking exists once Black Sea Inc. issues a written confirmation and the required payment has been received.

A reservation is confirmed only when the confirmed total has been prepaid in full by the date stated on your invoice. A reservation may be released if payment is not received by that date.

Cancellation deadlines and the refund treatment of your prepayment are stated in full in the written confirmation and invoice issued to you before any payment is made, so that the exact terms are known and accepted before funds are transferred. Cancellation requests must be sent in writing to the address shown on your confirmation and take effect on the date we receive them.

Comprehensive travel insurance covering cancellation is strongly recommended for every guest.

Merci Baku is a fully prepaid journey. Prices are per person, quoted in US dollars, and are not negotiable. Full prepayment is required to confirm a reservation after availability, accommodation, total price and cancellation terms have been confirmed in writing. There is no deposit and no instalment schedule.

Payment is made by bank transfer against a formal invoice issued by Black Sea Inc., with the amount, currency, payment date and reference stated in writing. Online card payment is being introduced and is not currently available. Card numbers are never entered into, transmitted by, or stored on this website.

A booking is complete only when both the written confirmation and the required funds are in place. A receipt is issued for every payment received.

Comprehensive travel insurance is strongly recommended for every guest, including cover for cancellation, medical treatment, repatriation and baggage. Travel insurance is not included in the package price.

Black Sea Inc. acts as the organiser of the journey and contracts with independent suppliers, including hotels, restaurants and transport providers. Black Sea Inc. is responsible for arranging and coordinating the services described in your confirmation and exercises reasonable care in selecting its suppliers; each supplier remains responsible for the services it delivers directly.

Black Sea Inc. is not liable for failure or delay caused by events beyond its reasonable control, including severe weather, natural events, strikes, civil unrest, government action, border or airspace restrictions and public-health measures. Where such an event affects a journey, we will provide an equivalent alternative wherever possible, or apply the refund treatment set out in your written confirmation.

The published itinerary is indicative. Sequence, venues and daytime programmes may change because of weather, venue availability, supplier scheduling or local opportunities. We will always aim to provide an equivalent or better alternative.

Four Seasons Hotel Baku is our preferred accommodation when available. The exact hotel for each departure is confirmed with you in writing before payment. If the preferred property is unavailable, an internationally rated five-star hotel of equivalent or higher standard in central Baku is offered before any payment is requested. Room type and configuration are subject to availability.

The standard Merci Baku journey is six nights. An additional arrival night may be requested. Availability and any applicable price adjustment are confirmed individually in writing before payment.

The Grand Prix Edition departure is timed around the Formula One race weekend of 24 – 26 September 2026. Race tickets are not included in the package price.

Where race tickets are requested, the category, price and conditions are quoted and confirmed in writing for each booking and are governed by the terms of the ticket issuer. Race tickets are paid in full at the time of confirmation and are non-refundable once issued.
